Client Coordinator

We are growing and looking for a Client Coordinator to champion our commitment to exceptional client service. This is a pivotal role focused on improving client experiences, streamlining communications, and ensuring a consistent, high-quality delivery of our services.
Position Overview
As our Client Coordinator, you’ll work closely with the Operations Manager to lead initiatives that elevate client satisfaction. You’ll serve as the voice of the client internally, collaborating with Partners, Accountants, and the other support team members to enhance service delivery, manage feedback, and ensure client needs are not only met but exceeded.
Key Responsibilities
Serve as the central coordinator for day-to-day operations, ensuring timely completion of client deliverables and internal deadlines.
Manage calendars and schedules for Partners, prioritizing tasks to maximize productivity and minimize conflicts.
Oversee client onboarding processes, ensuring seamless setup of files, documentation, and communication channels.
Monitor workflow across the office, proactively identifying bottlenecks and implementing solutions to keep projects on track.
Prepare, review, and format client correspondence, proposals, and reports with a high degree of accuracy and professionalism.
Act as a liaison between clients and team members to coordinate meetings, information requests, and follow-ups.
Maintain and optimize office systems including digital file management, client databases, and internal tracking tools.
Lead administrative initiatives aimed at improving process efficiency, team coordination, and service delivery.
Support billing and time entry processes to ensure timely invoicing and accurate records.
Assist with organizing meetings, training sessions, and team building events.
Manage office supplies, snacks, and kitchen inventory, and ensure the shared office spaces are tidy, clean, and well-stocked to maintain a welcoming environment.

Qualifications
2+ years in a client service, relationship management, or operations role—ideally in professional services (accounting, legal, or consulting). Familiarity with TaxDome considered an asset.
Proven ability to manage multiple priorities and deadlines with efficiency, accuracy, and composure in a fast-paced environment.
Demonstrates the highest level of integrity, professionalism, and discretion in handling confidential information and sensitive matters.
Strong critical thinking and problem-solving skills, with a proactive approach to anticipating needs and resolving issues independently.
Self-motivated and resourceful, with the ability to work autonomously and take ownership of tasks from start to finish.
Excellent organizational and time management skills, with a sharp attention to detail.
Clear and professional communication skills—both written and verbal—with the ability to interact confidently with clients, partners, and team members.
Basic bookkeeping or accounting knowledge required, including familiarity with financial documents, data entry, and reconciliation processes is considered an asset.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Caseware and TaxCycle is an asset.
